Compress a PDF Under 5 MB Without Guessing
Five megabytes is a common ceiling on university, government and insurer portals. PDF North rebuilds image-heavy pages locally and labels the new size. Under 5 MB is often reachable for a medium scan; it is not a lossless optimisation and it is not guaranteed for a long photo report.
How to do this in PDF North
- Count the pages the form named. Extract or delete the rest so the 5 MB budget is spent on useful sheets.
- Compress at Balanced, open the download at 100% zoom, and read the reported size.
- If you are still over 5 MB, try Stronger, or split the document into two readable files the portal will accept separately.
5 MB is a wide target compared with 200 KB
A 200 KB cap almost always means a one-page scan at low resolution. A 5 MB cap usually allows a short chapter or a modest photo set at Balanced. Treat 5 MB as headroom, not a reason to jump straight to Maximum. Keep the original until the portal accepts the file and you can still read the stamps.
What the compressor will not preserve
Flattened pages lose search, copy, links and form fill. If the destination still needs a fillable form, do not compress it — reduce page count instead, or ask the recipient for a larger cap. Resize changes paper size, not megabytes; use Resize PDF Pages only when the portal named A4 or Letter.
Plan B when one file cannot fit
Split a 20-page scan into chapter-sized PDFs, or extract the identity page plus the signed declaration. Recipients would rather open two clear files than one muddy 4.9 MB attachment. For a tighter 2 MB rule, follow compress to 2 MB.
Frequently asked questions
Can I lock compression to 5 MB?
No megabyte target is exposed. Compare the labelled size after each run and stop when you are under the portal cap.
Is 5 MB the same as a Gmail limit?
No. Gmail’s attachment limit is much larger. Use this page for 5 MB portals; use compress for Gmail when the mailbox is the constraint.
Will under-5 MB compression upload my PDF?
No. The file stays in this tab. The portal only sees the copy you choose to upload later.
