Compress a PDF to 1 MB

A 1 MB ceiling shows up on government forms, visa uploads, insurers and some course portals. It is tighter than a 2 MB rule and far tighter than Outlook or Gmail. PDF North rebuilds scanned pages locally and labels the new size. It does not promise the file will land at 1.00 MB.

Your file stays private. PDF North tools run in this browser tab. Following a guide and opening a tool does not upload the document.

How to do this in PDF North

  1. Extract only the pages the form named. A multi-page photo PDF can spend the whole 1 MB budget before the useful sheet.
  2. Open Compress PDF. If Balanced is still over 1 MB, run Stronger and read the labelled size.
  3. Use Maximum only while the type stays readable. If it does not, send fewer pages rather than uploading a blur.

When 1 MB is a realistic result

A short, already-clean scan of one or two A4 pages often drops under 1 MB at Stronger. A long colour scan usually will not, unless you extract the signed page the form actually wants. The tool reports the new size so you can see a miss. There is no control that forces 1.00 MB. Phone photos should become a PDF only after you have a modest JPG — JPG to PDF from a full camera original is a poor way to start a 1 MB upload.

How 1 MB differs from 2 MB, 5 MB and mail

Two megabytes is twice this budget. Five megabytes is a different portal class — see compress to 2 MB and under 5 MB. Outlook.com and Gmail allow tens of megabytes; do not flatten a text PDF toward 1 MB just because you will also email it. Use compress for Outlook when the mailbox is the thing that failed. Use this page when the form prints 1 MB.

The detail you spend to get under 1 MB

Every level flattens pages, so selectable text, links and form fields disappear. For this cap, Balanced is often still too large on a photo scan, which is why the working order moves to Stronger sooner than the 5 MB page. If Maximum is under 1 MB but a name or a stamp is unreadable, the compress failed the real test. Keep the original. Delete unused sheets before you spend quality on them.

Frequently asked questions

Will this tool always produce a 1 MB PDF?

No. 1 MB is the portal’s rule. The tool shows the new size and does not lock it.

Should I start at Balanced or Stronger for a 1 MB cap?

Try Balanced once. If you are still over 1 MB, Stronger is the usual next step for a short scan. Maximum is only for a remaining gap you can still read.

Is a 1 MB limit the same as the 2 MB portal guide?

No. 2 MB allows more pages at a gentler setting. This page is for forms that state 1 MB.

Does compressing toward 1 MB upload my PDF?

No. The file stays in this tab. You upload the download on the portal yourself.

Why did a text PDF stay larger than 1 MB?

Digital text has little image data to rebuild. Delete unused pages. Compression will not invent a 1 MB file from an already-efficient document.

What if the form allows several files instead of one 1 MB PDF?

Two readable PDFs that each sit under the cap are better than one illegible file. Extract or split first, then compress each part you still need to shrink.
