Compress a PDF for Gmail Attachments
Gmail rejects oversized attachments. The advertised ceiling is 25 MB per message, and MIME encoding eats part of that budget, so a 24 MB PDF can still fail. PDF North compresses image-heavy files locally so you can read the new size before you open Compose.
How to do this in PDF North
- Check the current PDF size on disk. If it is already under about 20 MB and readable, do not flatten it.
- If it is a scan over that range, run Balanced compression and confirm both the new size and the page clarity.
- Attach the download in Gmail. If Compose still refuses it, split the PDF or send a Drive link instead of destroying the type.
Gmail’s limit is not 200 KB
Consumer Gmail allows attachments up to 25 MB. Workspace admins can set other rules, and some forwarding gateways are stricter. Do not apply Maximum compression to a 3 MB text report just because you are sending it through Gmail. Save flattening for photographed pages that actually miss the cap. The older 200 KB advice on compress for email is for harsh portals, not Gmail.
Encoding overhead and Drive
Base64 encoding inflates the bytes Gmail counts. Aim comfortably under 20–22 MB if the file must travel as a true attachment. Above that, Google typically offers to place the file on Drive and send a link. A Drive link is often better than a ruined Maximum compress — the recipient still needs to be allowed to open the link.
Keep the job on the device
Compression runs in this browser. PDF North does not upload the PDF to Gmail or to us. You attach the downloaded copy yourself. WhatsApp and SMS have their own document caps; those belong on compress for WhatsApp, not this page.
Frequently asked questions
What size PDF can I attach to Gmail?
Gmail’s published attachment limit is 25 MB per message, including encoding. Stay near 20 MB or use Drive if Compose blocks the file.
Does PDF North send the file to Google?
No. We compress in the browser. Gmail only receives the attachment after you add it in Compose.
Should I compress a small text PDF for Gmail?
No. Flattening removes selectable text for no delivery benefit. Compress scans and photo pages that miss the cap.
Why did Gmail still reject a 23 MB file?
Encoding overhead can push the message over 25 MB. Split the PDF or send a Drive link.
